What You Will Do

  • Handles confidential and sensitive information with discretion
  • Manages HR processes, as assigned
  • Provides customer service to all employees, vendors, clients, and visitors
  • Responds to all email inquiries in a timely manner, including, but not limited to: requests to reset HRIS self-serve passwords, employment verifications, PTO updates, etc.
  • Monitors the GalaxE Human Resources inbox regularly and responds or delegates the email for reply, as appropriate
  • Answers multi-line telephones and welcome guests
  • Provides backup support for receptionist responsibilities as needed
  • Assists with the processing of new hire paperwork and onboarding activities, as well as with onboarding's overall maintenance
  • Assists in planning and executing employee events
  • Performs diversified clerical and administrative support including, but not limited to: preparing FedEx shipments; sort/disseminating incoming mail; word processing, photocopying, scanning, filing, binding and faxing
  • Runs errands on an as needed basis, as backup support for Administrative Assistants
  • Ensures security requirements are met when receiving visitors into reception
  • Processes employment verifications
  • Maintains employee files (hard copies and electronic HRIS documents)
  • Tracks Employee Changes within HRIS system
  • Maintains employee time off records; reconciles HR PTO records with Delivery Automation system reports
  • Assists HR team with immigration compliance
  • Assists with researching compliance updates for federal and state laws and employment postings
  • Performs diversified clerical and administrative support to executive and management teams
  • All other duties as assigned

Skills and Experience You Will Need

Required Skills:

  • Proven MS Office skills with a focus in Excel, Word, and Outlook
  • Eagerness to learn HR principals and their application
  • Ability to sit for extended periods of time
  • Ability to lift and carry up to 25 lbs.
  • Ability to report to and work in an assigned Corporate or client office location
  • Effectively interacts and communicates (orally and written) effectively across diverse, inter-disciplinary, cross-functional teams
  • Ability to handle reasonably necessary stress
  • Proven track record of providing excellent customer service
  • Experience with multi-line telephone system
  • Quick learner, detail-oriented and strong attention and accurate
  • Ability to work discretely with confidential information
  • Task-oriented, dependable/reliable, self-motivated, team player
  • Ability to multitask while adapting to the changing needs of the business in order to meet strict deadlines



  • High School Diploma or equivalent required, College Degree is preferred
